ECS Job Opening: Section & Chapter Engagement Specialist

Reports to: Director of Community Engagement

Classification: Full-Time Exempt

MAJOR FUNCTION

Responsible for managing programs and services designed to support the organization’s regional or local sections/chapters. Serves as liaison to increase engagement with sections/chapters, resolve chapter/affiliate inquiries; reviews and recommends policies and processes to maintain and improve service levels between the organization and its sections/chapters. The role is also responsible for promoting and increasing engagement in outreach and professional development services like the ECS Career Center and ECS educational offerings.

ESSENTIAL FUNCTIONS
  1. Responsible for administration of the student and section membership programs which include recruitment/retention, event planning, developing collateral, etc.
  2. Facilitates and supports section governance in accordance with the organization and section bylaws.
  3. Supports and executes selected awards, education, and outreach programs to engage key stakeholders with ECS including Short Course Education, Professional Development Workshops, ECS Career Center, ECS Webinar Series, Summer Fellowships, Travel Grants, Outstanding Student Chapter Award, etc.
  4. Liaises with the Director of Community Engagement and Finance Department on the budget process through the NetForum database for associated programs.
  5. Works with available resources to create and distribute applicable brochures, signage, and collateral.
  6. Researches and identifies potential student chapter and section engagement opportunities to pursue and charter; reviews and updates information within the Association Management Software (AMS).
  7. Collaborates and provides various program materials for Interface, Meeting Programs, Weekly E-news, and ECS website. This includes section and student chapter updates for the ECS website, publications, and other marketing materials.
  8. Develops Standard Operating Procedures (SOPs) accordingly.
  9. Other duties as assigned by the Director of Community Engagement.
POSITION RELATIONSHIPS

Internal: Reports to the Director of Community Engagement. Has regular contact with all ECS Departments and staff members in the performance of duties. Cross-trained to perform certain duties of the Member and Constituent Services Specialist and functions in NetForum.
External: Has regular contact with ECS student members, section leadership, volunteers, and outside vendors. Has regular contact with ECS Section/Division Chairs, faculty advisors, corporate partners, and members.

PREREQUISITES FOR THE JOB
  1. Education and experience: bachelor’s degree required; 1-3 years of work experience required.
  2. Strong interpersonal skills with an ability to lead, influence, and motivate others, including internal and external stakeholders.
  3. Strong verbal and written communication skills.
  4. Experience with CRM databases or association management software (AMS).
  5. Detail oriented and organized with excellent time management skills.
  6. Demonstrated problem-solving skills with ability to use good judgment and confidence in decision making.
  7. Ability to work with volunteers, keeping them motivated while managing expectations and resources.
  8. High proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, etc.).

  4. Employee is required to perform essential duties in a non-office setting including, but not limited to, biannual and other meetings or events.
WORK ENVIRONMENT

The work environment characteristics described below are representative of those an employee encounters while performing the essential functions of this job. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.

  1. Majority of work is performed in an office setting; hybrid/flexible work options are available. Full-time employees work 37.5 hours per week, Monday through Friday. (The office is located in Pennington, NJ.)
  2. Travel is required both domestically and internationally up to 4-8 days per trip.
  3. Requires management of multiple tasks under high demand with frequent deadlines.
