Tips & Tools for a Successful Meeting Experience

Plan: The best way to come to the meeting feeling prepared? Plan in advance! Check the meeting homepage regularly for new and updated events and information. Get familiar with the highlighted events and online program so that you can carefully plan your days and make the most out of your time onsite.

Meeting App: Download the ECS app, by searching “ECS mobile” in your app store, to put the technical program and personal meeting scheduler on your mobile device. Browse, add, and sync sessions, events, and presentations to create your own custom itinerary!

Think like a local: Discover Cancun and plan your site-seeing adventures and airport transfers now! There will also be a Local Hospitality Desk in the Expo Center of the Moon Palace where a guide can assist you with everything from tour bookings and sightseeing tips to dining reservations and local travel and safety information.

Language: Spanish is the official language in Mexico, although English is spoken in most shops, restaurants and public spaces. Various European languages are spoken as well.

Electricity: The power supply in Mexico is the same as in the United States: 110 volts.

Currency: Mexico uses the Mexican peso however American dollars are also accepted in many places. Banks are usually open Monday-Friday 0900-1700h. ATM machines will distribute your cash in pesos based on the day’s exchange rate.

Safety & Security in Mexico: Virtually all drug-related violence takes place along Mexico’s Northern border with the United States. As in every city in the world, there are areas that may be considered especially risky however they are usually located in the periphery and are far away from tourist areas, and not easily accessible. Safety & Security at the Moon Palace: The resort is reached by a main highway that goes from the Airport to the Hotel property without crossing the main city or downtown area. Due to the property’s natural location, the closest properties are more than 4 kilometers in distance on both sides. The Security Department is composed by a total of 200 trained personnel who constantly perform dissuasive actions and activities that ensure the security and well-being of all guests within the resort facilities. When entering or departing the property, each transportation vehicle is inspected and each guest, staff member and supplier is inspected and their identity is verified.

Dress Code: The attire for the conference is business casual. The session rooms will have air conditioning on and can get chilly so we highly recommend you dress in layers. While most technical sessions will be held in the Expo Center there are a few meetings that will take place in the Sunrise Center. The venues are next to each other but you will need to walk outside to get between the two, keep this in mind when dressing for the day. Given the amount of ground you are sure to cover, we recommend comfortable walking shoes.

Cancun weather is tropical and humid with the average temperature in October being 27°C/81°F. Average highs of 31°C/88°F during the day and average lows of 24°C/75°F after dark. Check out the forecast to plan accordingly.

What to bring:

  • Business cards – with ample time to network you will want to have plenty of cards ready to distribute.
  • Day bag: between early sessions and evening poster receptions, meeting days are long. Bring a backpack or briefcase to carry any items you need with you as there will not be very many opportunities to go back to your hotel room throughout the day.
  • A reusable water bottle and coffee mug – go green!
  • A notebook & pen – it may sound obvious but you want to make sure you have these on hand at all times.

Who to ask: ECS staff members can easily be picked out of a crowd. Look for our signature blue polos with the ECS logo or a name tag with a “Staff” ribbon. Letters of Attendance: Individuals requiring an official letter of attendance should visit the “Letters of Attendance” self-help computer in the registration area onsite. Once you complete the form, the letter will be emailed to you within 2 weeks of the end of the meeting.

Things to Know

Registration Fee: All meeting participants, including invited speakers, are required to pay the appropriate registration fees. The earlier you register, the more you will save.

Event Wristbands: Attendees who are not staying at the Moon Palace Resort will still be required to purchase an event wristband for $222 per person. The wristband will be valid from September 30 – October 4 and will include access to function space and access to the hotel’s all-inclusive restaurants and dining options.

Financial Assistance: Financial assistance is limited and generally governed by the symposium organizers. Contact your symposium organizers to see if funding is available. Individuals requiring an official letter of invitation should write to the meeting headquarters office; such letters will not imply any financial responsibilities of the AiMES organizers.

Photography and Recording: Is Not Permitted in Technical Sessions
By attending the AiMES meeting, you agree that you will not record any technical session activity, without the express written consent of the AiMES organizers. If you violate this policy you will be removed from the meeting and your registration will be revoked without the possibility of a refund.
